Be SMART and expect SMART

Hi,
Here is to continuation of our efforts to gain more, and have success by applying DELTA ZERO in our daily activities. Could be at work or after. It is all about how you serve your customers.
So I hope you have finished successfully our last exercise described here:

Now is the time for next step. It is general one that can  be of use in any other situation when you have to delegate any task to your supplier (you are customer) or you are going to receive and finish task from your customer (you are supplier). In both situations, if you are focused on delivering, you should keep in mind SMART .

The most important here is the five goals that SMART require from any task. You should remember to build your own expectation to others according to that. You should not agree on any task from your customers that are not in line with SMART. Use your assertive skills to ask questions and clarify your task.

So the first task it to act according to SMART especially with your customers and suppliers from SIPOC.

SIPOC step #5

Hi,

Finally we came to the end of our SIPOC exercise – but this is not the end of our hard work to improve our process. Now after 5th question you will have full list of your suppliers. You will be able to tell them your expectations regarding what they supply to you.

As one of the next step you should agree with suppliers critical to quality parameters that will be measured to control the DELTA.

SIPOC step #4

Hi,

After question #3 we know who are ours customers. Now is the time to prepare inputs to our process to fulfill their requirements. In the same way as we described Output we have to list down all materials and information that WE need from our suppliers. We will put yourself in the role of customers.

SIPOC step #3

Hi,

In the middle of the SIPOC exercise we are asking the most important question. Who are my customers? For each of the Output you have to ask following question:

This is the reason why SIPOC for me is the most powerful tool in process management. It can very clearly describe the surrounding of the process. If you will do this workout with guests from your suppliers and customers this can bring unexpected results.

SIPOC step #2

Hi,

Here is the second step in creating full SIPOC picture. As always we are asking questions. This time we are going to the right from our process to write down all effects of our work or process. Remember that there will be always something in the group of Materials and Information.

Be as precise as possible and do not omit any of the effects as this would lead you to omit one of your customer.

SIPOC step #1

Hi,

So, you probably know right now, what is your main activity. Now is the time to check what is the environment of that process and finally if you are focusing on right customer.

SIPOC is easy and very powerful tool to verify who is your suppliers and who is your customer. To learn that you have to ask 5 questions (as always during problem solving). First question is about the content of your process. What activities it is build from. Please do not focus on all activities and you should not be very precise. The main point here is to capture the scope: START and END of the process and only the main activities.

We assume that between each steps of your process everything is done according to DELTA ZERO, if not we will attack it later. One small remark: like for any process mapping please go to GEMBA first before writing down any process map.

What is the problem and what is not.

Hi,

To have a problem or not to have… we don’t have a choice. Problems will be with us forever. The problems are the essence of our life. Without problems there would be no progress no evolution. But the main problem with problems is that we don’t have time to solve all the problems. So we have to choose wisely what problem to solve first… and even before that we have to define problem not to loose our time on something that is not important.

Hi, So you have to remember that, the only problem you have to focus on, is DELTA not equal to ZERO. Everything else is not important. If someone is trying to engage your in some activities that are not connected with DELTA not equal to ZERO then you probably losing opportunity to solve current real problems.
So how define your problems correctly.. and… how not to make Alpha o Beta Error is defining PROBLEM? That is the mastery :)

I have made my time measurements. Now what?

Hi,

Let me explain why I have asked you to measure your time. Now you have all data (with the assumption that it measured properly) to look at the most important activity from all that you have. This is the activity on which you are spending the most of your time. To verify this you have to make PARETO analyse – more info about PARETO you can find in other posts.

my DELTA ZERO project started! Task #1

Hi,

Here is your first task to do. As you can read in my previous posts measurement is the most important thing. We have agreed that time is the main bottle neck so we will start from time measurement.

Count every and only 10 minutes of your activities.

So lets wait some days for your data. Remember that you have to be precise and hornets with measurements. If not you will just cheat yourself.
